This page is collection of release notes for the Surepass Office site and database.
When changes are made to the site they are mentioned in brief on the site home page
and full details are provided on this page. Under a version, each change in the
bulleted list is prefixed with one of the following:
- New - the change is a new feature on the site for this version.
- Change - the change is a variation or enhancement to existing functionality.
- Fix - the change has been introduced to fix a problem.

Fix: For administrators, the SeniorTrainingManager Role has been removed; you should
now use the role name STM.
v2.1 (January 2008)

New: Customer Training Display now shown as a training record rather than a tab
view that changes. Each item in the record is a test or training session that can
be individually edited. This keeps the user interface consistent and makes download
speeds quicker for the customer page.

New: Automatic Correspondence now in operation. CSAs and other site users no longer
need to manually send letters or emails to customers under normal circumstances,
the site will calculate which letters need sending according to a set of rules.
Letters such as receipts and invoices can still be sent manually as can other letters
if permissions and conditions allow.

Change: Task handling has been enhanced. Tasks not frequently used in v1 have been
retired and are no longer used. Some new Task types for v2 have been introduced.
All Tasks are now automatically assigned to a specific member of staff or the current
user depending on settings managed by the administrator.

New: Complaints handling is now possible. Complaint Tasks can be created from the
customer display page and are automatically assigned to a member of staff at HQ.
v1.36 (30th July 2007)

Fix: All current ADI2, ADI2s, ADI3 and ADI3s courses have had the tests removed
from them since these courses do not come with tests included. New orders for these
courses will not include tests.
v1.32 (20th July 2007)

Fix: The new payments form now removes the requirement to enter both Start Date
and Issue Number for Maestro (formerly Switch) and Solo cards. When entering these
cards ask for start date and issue number, and only complete the fields if the customer
can provide the numbers. As a temporary
measure to ensure smooth running, the previous payments form has been re-enabled
and appears on the end of the tab view as 'Payments (Backup)'. If you encounter
any problems authorising payments using the new form take the payment through the
Protx web site and add the card payment using this tab.
v1.31 (20th July 2007)

New: Introduction of integrated Protx credit/debit card payments for all users and
refunds for HQ Staff.

Change: Training Course status can now be changed in the Edit Training page by Administrators
and HQ Staff. This feature was scheduled for phase 2 but has been brought forward.
Courses are created in the 'Active' status unless payment is still pending and in
this case the status is set to 'Pending'. Courses can be set to 'Cancelled' or 'Completed'.
Only when in the 'Active' state can CSAs edit save changes to training course data.
Similarly, the course must also be 'Active' for tests to appear in the Test Booking
page.

Fix: Autocomplete disabled for numerous form fields on the site including payment
forms, addresses, test appointments, training sessions, dates and times, notes,
order details, internet addresses, names and numbers. This is to ensure the security
and integrity of data.
v1.30 (19th July 2007)

New: CSA Points summary now links to a details page showing how points have been
calculated.

New: Home page contains a personal summary area, linking the user to their Tasks
and CSA Points.

Change: Customer Search results now show customers in reverse date modified order
then on Surname. The idea is that the most recently accessed and created records
should be shown first for quick access.

Change: The Tasks list has been relocated to the System area so all users now have
access to it.The Tasks list itself has been improved by adding new filters to the
grid to locate data and more conversion of data to user-friendly text has been implemented.

Change: "Staff" in main site menu changed to "HQ Staff" to clarify the accessibility
of the content.

Fix: Tests in 'Booked' state are now editable to all users with the exception of
the status itself. This fixes issues introduced with the changes in v1.29 where
other test information (such as Theory test result and pass number) could not be
entered for booked tests since the whole control was disabled.

Change: Test appointments in the 'Booked' state (within the training course pages)
now appear disabled except to HQ Staff users.

v1.28 (17th July 2007)

Change: Training Sessions forms are now disabled (read only) when the training session
status is 'Completed'. Only administrators can change the session in this state.

Change: Training Session forms now show the Pupil's home address by default. This
address can be changed or edited by users without affecting the home address on
the pupil's record.

Change: The maximum payment amount in the new (prototype) payment functionality
is a system-wide maximum for all non-card payments. This is to cater for the situation
where a customer sends overpayment accidentally, since this needs recording in the
system before a partial refund can be completed. The limit is currently set to £5000.
For card payments, the maximum amount payable is the balance amount since the transaction
is in real time with Protx.

Change: Payments of type "Website" do not now automatically go to the "Cleared"
status. Instead, they are added at the "Received" status and must be manually set
to "Cleared".

Fix: Order default delivery option is now "No Delivery/Collect from Office" (£0.00).
This replaces the (incorrect) inclusive delivery option. The other options to choose
from are now just Standard First Class (£5.00) and Next Day (£8.00).

Dev: Protx VendorTXCode shown in Protx reports will now be in a new format using
the familiar Course/Surname/Postcode style in part.
v1.27 (12th July 2007)
- New: Integrated Protx payment prototype accessible by some users.

New: Access to the live site is now via SSL secure communications only (https://).
Any shortcuts to the site should now be changed to

. Users trying to use existing shortcuts will
be redirected to this URL.

New: Added one-click button handling to all main forms. This means that double-clicks
on buttons, or multiple clicks in one request are ignored.

Change: Email to instructors for course notification now contains payment status
information. This includes the order charge rate, total value and details of amounts
paid and outstanding for collection.

Test Booking page overhauled:

Change: Test detail panel no longer greys out for booked tests. Instead the buttons
are disabled only.

Change: When there is no test selected no controls are shown. Records must be specifically
selected.

Change: The selection no longer automatically updates when the filter criteria or
grid page is changed. This also means that the chosen record can be one that is
not in the currently visible list of tests.

New: Modified date filter allows filtering of test bookings modified since a (preset)
date.

New: Filter criteria are kept in the user's session so if the page is left the same
filters will apply when you visit the page next time in the same session.
- Change: Page numbers in the tests lists will not stick if a new record is selected.

Fix: If the pupil training course has been updated during editing on this page,
data is not overwritten and the user is altered.

New: Two new payment types have been introduced. 'Charge To Instructor' can be used
when the instructor is to collect full or part payment from a pupil. 'Website' is
used by (and only visible to) HQ staff to process orders taken via the public Surepass
web site.

Change: On test booking page test appointment times are now validated on the client-side
rather than when the buttons are clicked.

Change: Phone numbers entered are now validated and must be UK telephone numbers
including the full area code.The check allows 3, 4 or 5 digit regional prefix, with
8, 7 or 6 digit phone number respectively, plus optional 3 or 4 digit extension
number prefixed with a # symbol. It also allows optional brackets surrounding the
regional prefix and optional spaces between appropriate groups of numbers. For example:
01222 555 555, (010) 55555555 #2222, 0122 555 5555#222. Any existing records that
contain invalid numbers will need the numbers correcting before they can be updated.
v1.18 (15th June 2007)
- New: ADI training courses now have an extra (initial) section to record the induction.

New: Vouchers can be printed from the correspondence tab of FastPass courses (by
HQ Staff and Administrators).

Change: All training course training sessions now have more information that can/should
be recorded: Instructor, full address field for pick-up location (rather than a single
line text box) and Status. When Status is set to Scheduled or Completed, the instructor
and date must be specified.

Change: Customer search page now puts focus in search box by default when entering
the page for ease of use.

Change: The Test Booking page now requires that an instructor is selected when booking
a practical test. This is to ensure that the booking email to notify an instructor
can be sent. Deferring a practical test, or booking or deferring theory tests do
not require an instructor to be selected.

New: Test Centre editor added to staff admin area. Test Centre data can now be added
and new test centres added.

New: Home page now has "My Tasks" view - a quick reference list of tasks assigned
to the logged in user.

Change: The print and email queues pages now have a date range filter to reduce
the number of results returned. The default is to show only today's items.

Fix: Date and time control in test booking forms now editable again, previous version
made them disabled.

Change: Instructor editor changed so the user must either select an instructor to
edit or click Add New to create a new record in the database to edit. Therefore,
only one button (Update) saves any changes. Previously the form was confusing and
could cause duplicate instructors.

Change: Email Queue page now shows statuses of "Sending" and "Sent" rather than
"Printing" and "Printed" for emails.

Change: Test booking page also now allows the instructor to be selected or changed.
If an instructor is not selected when booking a practical test, sending email to
the instructor will not be possible.
- Change: Staff task list and editing pages relocated from System area to staff area.
- Change: Task editing pages layout changed to be easier to use and provide more information.

Change: Instructor editor relocated to new staff administration area which can be
used by HQStaff and CSAs to perform routine administration tasks like updating instructor
data, test centres (soon) etc. To use the page, from the main menu choose Site Administration
> Staff Tools and choose the link from that page.
v1.14 (6th June 2007)

New: Instructor/ADI editor in administration area to allow Surepass HQ Staff to
maintain ADI data without developer intervention.

Change: Automatic emailing (from test booking currently) now improved to provide
better error messages, and to send emails as if they were from the person who generated
the email rather than an unmanned mailbox. This means the person who generated
the mail will get any replies and also notifications if the email is not sent.

Change: Instructors/STMs for ADI courses are now editable once more. Previously
they were fixed text.

Change: Instructor test appointment emails contain more information about the test,
pupil and course.

Change: Letter printing buttons on the training Correspondence tab are enabled for
site administrators at all times now to allow re-printing of letters. All other
users will see these buttons disabled once a letter has been sent for Fast Pass
courses.

Fix: The test booking screen could sometimes fail if a pupil did not have a licence
number entered. Now fixed.

New: The system email queue is now visible on the same page as the system print
queue. The page has been renamed to 'Queues' to reflect that there are now a number
of queues visible. Any shortcuts to the page will need changing.

New: Added field 'Test Reference' to test appointments to allow the test reference
number to be recorded once a test is booked. This field appears in the test appointment
within the training tabs and (importantly) in the test booking page.

Change: The test booking page now allows the test reference number (see above) and
the test notes to be edited. These fields are updated when the Booked or Deferred
buttons are clicked. Allowing test notes to be edited means that HQ staff can enter
more information when a test is booked or deferred.

New: The course correspondence tab now shows any letters previously sent for the
course.

Change: Following a data update, current and future FP1 courses allow FP2 letters
to be send in addition to FP1 in the event that data is incorrect and an FP2 letter
needs sending. Similarly, FP3 courses now allow FP4 letters.

Change: Fast Pass courses can only have one letter sent to avoid accidentally sending
multiple letters.

Change: The test booking page now has two possible actions when booking tests (via
buttons) - Booked and Deferred. Booked will mark the test as booked, print any letters

from one place rather than opening up the training details for each pupil individually.

New: For developers, it is possible to tell which database configuration the site
is connected to by viewing the tooltip of the site version label in the bottom right
of every page. The indicator will show if each of the 3 database instances are connected
to live or test data. The configuration is also show in the site admin default page.

Change: Additional test variants have been introduced to the system for ADI courses.
Previously, the types on the system were just the car tests that could be done -
Theory and the various driving tests (weekday/weekend/extended combinations). ADI
courses were temporarily using the "Car Theory Test" as variant for Part 1 and the
"Car Weekday Test" for parts 2 and 3. The ADI course parts now have test variants
of "ADI Part 1 Exam", "ADI Part 2 Test" and "ADI Part 3 Test" respectively.

Change: Test variants are no longer editable for tests via the training page, since
this is determined by the order wizards.

Change: Print Queue view now has pupil name and modified column. The modified column
will show when the status of the item on the queue last changed.

Change: Pages on the site have been restructured for ease of use. A new "System"
area contains system-wide/all user forms such as the task list and print queue.
The "Staff" area now contains pages for use by HQ staff previously stored in the
admin area.

Fix: In some circumstances, a training course record could not be saved and the
following message was shown: "Error. Training record could not be saved. If the
problem persists please contact the administrator". This problem has now been corrected
and should no longer occur.

Fix: For some instructors, especially ADI course STMs, the email links in the correspondence
page we not enabled. For new ADI courses all instructors should now have email addresses
allowing emails to be sent.

Fix: The Fast Pass Wizard page was incorrectly determining if a course would be
an FP3 or FP4 depending on if the licence number was entered rather than if the
CSA had selected "Book Now" or "Book When Requested" for the theory test. The booking
status is now used instead of the licence number being present.

Fix: The Fast Pass Wizard was incorrectly marking the Theory Test for FP1 and FP2
courses as "Book When Requested" rather than "Booked" (since the pupil is likely
to have booked the test if it is not required). This does not have any data consequences
other than spurious tests at "Book When Requested" status being on the system. The
problem has now been addressed.
